Answer Instagram DMs with AI, with your team as backup

Want the questions in your Instagram DMs answered even when you are busy, and your team told when a person has to step in? This template does both.

Answer Instagram DMs with AI, with your team as backup
About

Copy the Instagram template: your AI agent answers DMs that ask a question, and your team gets an email when it cannot finish.

Set up your AI agent, copy this template, and every DM that asks a question goes to the agent. It answers from its knowledge base in one or two short messages. A chat it finishes goes into the folder "Front desk: resolved". A chat it cannot finish sends your team an email and goes into "Needs a human".

What the template does, step by step

1. Someone DMs you a question

The trigger is "Someone sends you a DM". It reacts to any message in a conversation, including those after the first, and it does not look for a keyword. It uses an AI-detected intent: you describe the kind of message you want in plain words, and Inrō matches on what the message means.

The template describes it like this: "Asks a question or for help in their own words about products, services, prices, hours, bookings or orders. Not a button reply, a collab pitch, a compliment or spam."

2. Your AI agent takes over the chat

The next step, "Hand over to AI Agent", makes your agent answer. It replies to the person's latest message right away, then to each new message in that chat. The step carries a task: the finish line the agent works toward, in plain words. The template's task reads:

Goal: answer the person's question from the knowledge base in one or two short messages, with one question back at most. Done only when they have their answer or the link they need. If the answer is not in the knowledge base, or they ask for a person, say the team will reply here. That does not complete the task.

After each agent message, Inrō checks whether the task is done. If it is, the chat leaves down the "Task completed" branch. If the agent has no answer, it says the team will reply and the task stays open, so the chat leaves down the "Handover expired" branch instead, once the wait on that branch runs out. That wait starts again after every message the agent sends, and you can change it.

3. Finished: the chat goes in "Front desk: resolved"

When the task is done, Inrō adds the contact to the folder "Front desk: resolved". That is the whole branch. Open the folder to see every chat the agent finished.

4. Not finished: your team gets an email

When the wait on the "Handover expired" branch runs out, Inrō sends an email to your team, then adds the contact to the folder "Needs a human". The subject starts with "Needs a human:" followed by the contact's username and yours. The text opens with "The AI couldn't finish with" and the contact's username. A person takes over there, in the Inrō inbox or in Instagram.

What to change before you turn it on

The template arrives switched off. It starts at most once per person per day.

Check seven things before you go live:

  1. Your AI agent. The template does not copy an agent. Its role, tone and knowledge base belong to your account, so set them up first. For the steps, see the guide to AI customer service on Instagram.
  2. The alert address. The email step has no recipient: "To" is empty, and the builder flags "Email address is empty" until you add one. Enter the address your team reads.
  3. The intent. Read the sentence in the trigger and rewrite it for the questions your account gets.
  4. The task. Keep the three lines or edit them.
  5. The email. Reword the subject and the text in your own voice.
  6. The two folders. "Front desk: resolved" and "Needs a human" are set in the two folder steps. Choose existing folders or create new ones, and rename them if you like.
  7. A test. Ask your agent the questions your DMs get most with "Chat with Agent" on the AI Agent page. When the answers read well, turn the scenario on.

Best tips for your scenario

  • Teach your agent the answers first. A question the agent can answer from its knowledge base finishes the task. A question it cannot answer goes to your team. Add your hours, prices and delivery answers before you turn the scenario on.
  • Test with "Chat with Agent". Ask the questions your DMs get most, in the words your followers use, and fix what the agent gets wrong in its knowledge base.
  • Use "Limit to instructions" for prices and policies. In the agent's fallback settings, this option makes it answer only from your instructions and knowledge and say when it does not know. "Always have an answer" also draws on the model's general knowledge.
  • Narrow the intent if you run another AI template. Two automations can match the same DM, for example this one and a template that detects buying intent. Rewrite the intent to cover your own questions only, or put the automations in a priority folder: a folder of automations where only the highest one in the list runs when several match the same DM.
  • Work "Needs a human" like a queue. Filter your inbox by that folder, answer each chat, then remove the contact from the folder. When you spot a gap, add the missing answer to the knowledge base so the agent finishes the next one.

FAQ

Can AI answer my Instagram DMs?

Yes. This template hands each DM that asks a question to your AI agent, which answers from the knowledge base you gave it, in one or two short messages. Chats it cannot finish go to your team. To see an agent that goes further, read how an AI agent handles sales in your Instagram DMs.

What happens when the AI cannot answer?

Its task tells it to say the team will reply and not to mark the task done. After the wait on the "Handover expired" branch, Inrō emails your team and adds the contact to "Needs a human", where a person takes over.

How often does it run for the same person?

At most once per person per day. That limit is a setting of the scenario.

Can I reply myself?

Yes. Reply in the Inrō inbox or in Instagram whenever you like.
