Book calls from Instagram comments

Want more calls booked from Instagram without answering every comment yourself? This template holds the first conversation for you and sends your booking link only to the people who are ready to talk.

Book calls from Instagram comments
About

Someone comments APPLY, answers one question in your DMs, and people ready to start get your booking link while you get an email. Copy the template.

Ask people to comment APPLY on your next post. Each one gets a DM with one button, and a tap brings the question: are they looking to start soon? Each yes gets your booking link and sends you an email with their answer. Each "not yet" gets a free starter guide.

What the template does, step by step

1. Someone comments APPLY

The flow reacts to top-level comments that contain the word APPLY, in capitals or not, so "apply" and "I want to apply" both count. Inrō sends the DM through its comment to DM feature and answers under the comment with one of three replies, picked at random: "Sent, check your DMs", "Just sent it to your DMs" or "It's in your DMs now 🙂". The public reply only goes up once the DM has gone out.

It watches one post: the first one you publish after the date in its trigger. That date is set when you copy the template, so check it before your APPLY post goes up (see below).

2. The first DM asks for one tap

The first message is short: "Want to talk about the mentoring program? One quick question first." It has one button, "Sure, ask me".

It asks for a tap, not an answer, because Instagram lets a business send one private reply to a comment, within 7 days of it (Meta for Developers, checked 21 October 2026). A tap on the button counts as their response, so the conversation can continue. One button also keeps the choice simple: across the 798,041 conversations in Inrō's DM Benchmark, conversion with one button was 32%, against 2% with three.

3. One question sorts "ready" from "later"

After the tap, Inrō asks "Are you looking to start soon?" with two answers to tap: "Yes, soon" and "Not yet". A typed answer counts if it contains one of the answers word for word, like "yes, soon please".

Ask a question step in Inrō: Are you looking to start soon? with Yes, soon, Not yet and a 20 hour wait

4. "Yes, soon": an email to you, a time slot for them

The person goes into the folder "Mentoring program: hot lead". Inrō emails you with their username, their comment and their answer, then sends a link card, "Book a call", with the button "Pick a time". If they have not tapped it 2 hours later, Inrō sends one nudge: "Have you checked the link yet?"

Send email step with an empty To field, then the Book a call link and its 2 hour nudge

The 2 hours is only the wait before the nudge. The link keeps working after it. Inrō records every tap on the link. To track the bookings themselves in Inrō, swap the card for a Calendly booking link (Pro plan).

5. "Not yet": a free resource, saved for later

The person goes into the folder "Mentoring program: later" and gets a link card, "Free starter guide", with the button "Open it". You have a list to follow up with when your next intake opens.

What to change before you turn it on

The trigger comes set up: comments that contain APPLY, on your next post, top-level comments only, and the flow runs once per person.

Comment trigger in Inrō: next post only, comments with the keyword APPLY

Check six things before you go live:

  1. The trigger date. Open the comment trigger. Under "Select the posts", "Next post only" reads "Automation will only trigger on the first post after" a date. Press Reset date, then Save scenario, just before you publish your APPLY post.
  2. The keyword. Keep APPLY, or pick a word that fits your offer. Say it in your caption or video.
  3. The offer in the first DM. Replace "the mentoring program" with what you sell.
  4. The booking link. The "Book a call" card points to an example address. Paste your own booking page.
  5. The free resource. The "Free starter guide" card also points to an example address. Paste your own guide, checklist or price list.
  6. Your email address. The email step has no recipient. Until you add one, Inrō skips the email and still sends the booking link.

You can also rename the two folders and change the waits: 6 hours for the button, 20 hours for the answer, 2 hours before the nudge. For a better question, try the lead qualifying questions generator; the Calendly integration lets Inrō track bookings as well as clicks.

Let AI read their answer

The AI version is the same flow with one change: the question says "Are you looking to start soon? Tap an answer or just tell me in your own words." AI sorts a typed answer like "can we talk next week?" into "Yes, soon" or "Not yet". Its nudge is softer too: "No rush, the link is just above."

AI matching uses AI credits, and only when it finds a match. If your credits run out, taps and answers typed word for word still work.

Versions for coaches, creators, shops and local businesses

Same steps, different wording, folders and resource for people who are not ready. Each name below opens that version to copy.

Coaches: discovery calls. Keyword APPLY. Question: "Where are you at right now?" People who are not ready get a free starter guide. Coaches version

Creators: mentoring calls. Keyword MENTOR. Question: "Are you looking to start soon?" People who are not ready get a free content checklist. Creators version

E-commerce: consultations for custom orders. Keyword BESPOKE. Question: "Do you need it within a month?" People who are not ready get a lookbook. E-commerce version

Local businesses: visits. Keyword CONSULT. Question: "Are you ready to book, or just browsing?" People who are not ready get a price list. Local business version

Best tips for your scenario

  • Name the offer in the first DM. The "Sure, ask me" button is what opts the person into the conversation: once they tap it, the flow can carry on. Say what they get in the message itself so the tap is an easy yes. If nobody taps within 6 hours, the flow ends for that person.
  • Add a reminder for people who tap but don't answer. In the question step, turn on "Send follow-up if no reply" and pick a wait shorter than 20 hours. Inrō asks again with the same answer buttons while the question is still waiting.
  • Use the AI version if your audience types. An answer that matches neither option gets one re-ask, "Just tap one of the two options below.", then the flow stops. The AI version reads answers in their own words.
  • Give each automation its own keyword. The base, AI and Coaches versions all use APPLY on the next post. If you run more than one, change the keyword in the trigger of each, or put them in a priority folder: a folder of automations where only the highest one in the list runs when several match the same comment.
  • Reset the trigger date right before you post. In the comment trigger, under "Select the posts", the "Next post only" setting shows the date it counts from. Press Reset date, then Save scenario, just before you publish, so the flow watches the post you are about to share.
  • Jump in by hand when a lead is hot. Your reply stops the automation for that person, so no nudge lands in the middle of your conversation.

FAQ

How do I book appointments on Instagram?

This template books them from a comment: one question in your DMs, then your booking link for people who are ready and a free resource for everyone else. The local business version books visits instead of calls.

How do I add a Calendly link to Instagram DMs?

Paste your Calendly page into the "Book a call" card of this template. To see bookings in Inrō, use the Calendly booking link step instead of the card.

Does it answer comments without the keyword?

No. Only comments that contain APPLY start the flow, and each person gets it once, so a second comment from them gets nothing.

Can I reply to them myself?

Yes. Reply in the Inrō inbox or in Instagram. Your reply stops the automation for that person, so no automated message lands in the middle of your conversation.
