Send a personal voice note to a group

Want your contacts to hear you, not read you? This template sends your own voice note to the audience you choose and shows you who answers.

Send a personal voice note to a group
About

Record or upload one voice note, choose your audience, and send it as a DM with a reply wait and a folder for replies. Copy the Instagram campaign template.

Record or upload one voice note, choose who gets it, and send. Each contact gets "I recorded a quick voice note for you. Have a listen." and then your audio. Inrō waits up to 20 hours for a reply, likes their reply and files the contact in a folder. The audience and the audio file are yours to add.

What the template sends, step by step

1. A short line first

The first message is: "I recorded a quick voice note for you. Have a listen." Keep "voice note" in it, so the contact knows what comes next. The line speaks as you, so it fits when you really did record the note yourself.

2. Your voice, as an audio message

The second step, "Send audio message", holds your recording. In the template it is empty, and Inrō shows the warning "No file selected" until you add one. In the screenshot, an empty step reads "Loading audio message…".

The intro message and the voice note step, which shows Loading audio message because no file is added yet

You upload a file ("Upload audio file") or record in your browser ("or record your audio message"). Meta lists aac, m4a, wav and mp4 as audio formats for Instagram DMs, up to 25MB (Meta for Developers, checked 23 October 2026). Inrō accepts MP3, M4A, AAC and WebM files up to 25 MB, the same size limit, and converts anything that is not already MP4 audio.

3. Up to 20 hours for a reply

After the voice note, the campaign waits for the contact to answer, for up to 20 hours. Any reply counts: a word, an emoji or a question. If nobody replies, nothing more is sent to that person.

Wait for reply step with two branches: when the contact replies, and if they have not replied after 20 hours

4. A reply gets a heart and a folder

One minute after a reply, Inrō likes their message with a heart. It then adds them to the folder "Voice note: replied". The conversation itself stays in your Inrō inbox and CRM, so you can answer them there.

On reply: wait 1 minute, like message with a heart, add contact to the folder Voice note: replied

After the send, the voice step shows how many were Sent and how many were Seen. Seen comes from the DM read receipt Instagram sends when the contact opens the message.

What to change before you send it

This is a DM campaign, so nothing goes out until you send it. Check six things first:

  1. Your audience. Choose it before anything else: folders, segments, filters or specific contacts. The template has none, and a campaign with no audience is built for every contact Inrō can message.
  2. Your own voice note. Open the "Send audio message" step and upload a file or record one. The warning "No file selected" goes away once a file is in. If you save, schedule or send without it, Inrō warns "This campaign still has unresolved issues", so add the file first.
  3. The first line. Say it your way. Keep "voice note" in it.
  4. The 72 hour option. "Exclude contacts who have received a campaign in the last 72 hours" is on in this template. Switch it off if you want to reach someone who got another campaign this week.
  5. The interruption rules. "Interrupt when you reply manually" and "Interrupt when contact replies" are off by default. Check both in the campaign settings. A contact who is waiting at the Wait for reply step is not stopped by their reply.
  6. Test, then send. Send it to yourself first to hear the note as they will. Then send now or schedule it.

Best tips for your campaign

  • Talk to one person. Record the note the way you would say it to a single contact, and keep it short. A long note asks a lot of a listener.
  • Start with a small audience. Pick a folder of people who already know you, and send it to yourself first, so you hear the note before it reaches anyone else. To see how a campaign reaches a chosen audience, read the DM campaign use case.
  • Add your own follow-up if you want one. As built, nothing follows the 20 hours. Add a message on the not-replied branch to ask again.
  • Work the folder. "Voice note: replied" lists who answered. Reply to them by hand, and decide in the interruption rules whether your reply should stop the campaign for that person.
  • Copy the campaign for a second note. A contact only gets one run of a campaign, so a new voice note is a new campaign. The DM campaigns guide covers audiences and timing.
  • Check Sent and Seen. After the send, the voice step shows how many heard it, so you know who to follow up with.
